How to Install Offline Apps​

  1. Go to https://www.office.com

  2. Sign in with your O365 Business Standard account

  3. Click “Install Office” in the top right corner

  4. Select the version for your device (Windows or Mac)

  5. Download and install — these are full desktop apps 

  6. Make sure you're signing in with your business email (the one tied to the O365 license). If you accidentally sign in with a personal Microsoft account, it might prompt you to buy or activate a separate license.

Set up inbox forwarding (all mail or rule-based)

New Outlook (Windows) & Outlook on the web) — forward all email

  1. Settings (gear) → Mail → Forwarding.

  2. Toggle Enable forwarding, enter the destination address, optionally Keep a copy, then Save. Microsoft Support

Classic Outlook (Windows) — forward all or some email with a rule

  1. Home → Rules → Manage Rules & Alerts → New Rule.

  2. Choose Apply rule on messages I receive → Next.

    • For all mail, leave conditions unchecked and confirm the prompt.

    • For specific mail, pick conditions (e.g., from, subject, importance).

  3. Under actions, choose redirect it to people or public group (or forward to), pick the address, then Finish → Apply. Microsoft Support+1

Important (Microsoft 365): many organizations block external auto-forwarding as a security policy. If forwarding to outside addresses fails or you see errors like 5.7.520 Access denied, Your organization does not allow external forwarding, your admin must allow it in the Outbound spam policy exceptions. Internal (inside your org) forwards aren’t affected by that policy.

Add someone’s calendar to your view

New Outlook (Windows)

  1. Go to Calendar → Add calendar → Add from directory.

  2. Search and select the person → their calendar appears under People’s calendars with their default sharing level (often free/busy). Microsoft Support

Outlook on the web

  1. In Calendar, choose Add calendar → From directory.

  2. Type the person’s name → Open to add it to your list. Microsoft Support

Classic Outlook for Windows

  1. In Calendar, on Home, select Add Calendar → Open Shared Calendar.

  2. Enter the person’s name and open it. If you don’t have permission, Outlook can send a request on your behalf. Microsoft Support

Outlook for Mac

  • File → Open → Other User’s Folder… → choose Calendar, search the person → Open. (Exchange/Microsoft 365 accounts; you need permission.) Microsoft Support+1

Notes
• You generally see only the person’s default Calendar unless you’ve been granted rights to additional calendars.
• If you can’t open it, the owner must share it with you first (or raise your permission level).

Show multiple US time zones in your Calendar

New Outlook (Windows) & Outlook on the web

  1. Select Settings (gear) → Calendar → View.

  2. Click Add time zone → search a US city (e.g., San Francisco (PT), Denver (MT), Chicago (CT), New York (ET)).

  3. (Optional) Add a Label (e.g., PT / MT / CT / ET) and Show in calendar → Save.

  4. To reorder sidebars, go back to Calendar → View → Other time zones and use Move up/Move down, then Save. Microsoft Support

Classic Outlook for Windows

  1. File → Options → Calendar.

  2. Under Time zones, check Show a second time zone (and Show a third time zone if available).

  3. Pick the zones and add Labels (e.g., PT/ET) → OK. (Latest Microsoft 365 builds support up to three time zones; older classics support two.) Microsoft Support

Outlook for Mac

  1. Outlook → Preferences → Calendar.

  2. Under Time zones, check Show a second time zone in Day and Week view (and third if offered).

  3. Add Labels. You can also enable Time Zones on a specific meeting via the Time Zones toggle in the event window.
